What our forms collect, why we collect it, who else touches it, and how to ask us to delete it. Written for a flag shop, not for a law firm.

Last updated September 22, 2026.

Head's Flags is a family business in Tampa. This website exists so you can find us, see the work, and ask for a quote. We collect what you type into one of our three forms, we use it to answer you and price the job, and we do not sell it or trade it. The site itself sets no cookies and runs no tracking of any kind.

What the forms collect

The contact form

On the contact page: first name, last name, email address, phone number, zip code, the subject you pick from the list, and your message. First name, email and message are required; the rest are optional.

When you click Send, the page opens your own email program with those fields filled in, addressed to tony@headsflags.net with a copy to tree@headsflags.net. Nothing leaves your computer until you send that email yourself.

The free estimate form

On the free estimate page: your name, company or organization, email address, phone number, what you need, the date you need it, the job site address, and the details you type. Name, email, phone and details are required. We ask for the job site address only so we can quote flagpole work for that location.

It sends the same way: your own email program, addressed to us.

The flag designer

The custom flag mockup tool collects first name, last name, organization, email address, phone number, the date you need it, your notes for the shop, the specifications of the flag you laid out, the mockup image the tool draws, and any artwork files you upload. Name, email and phone are required.

This one does not use your email program. It posts your details and your files to FormSubmit (formsubmit.co), an outside service that turns a web form into an email and forwards it to tony@headsflags.net with a copy to tree@headsflags.net. So your name, email, phone, organization, notes, specs and artwork pass through FormSubmit's servers on the way to our inbox. FormSubmit publishes its own terms at formsubmit.co. Attachments are capped at roughly 9 MB in total. If your files go over that, the ones that do not fit are left out and the shop is told how many were skipped, so mention large artwork when you send it. If the tool cannot reach FormSubmit, it shows an error and asks you to download the mockup and email it instead.

Email is not a sealed envelope. Please don't send Social Security numbers, card numbers or anything else you would not want sitting in an inbox. If you need to pay us, call the shop.

Why we collect it

To answer your question, price the job, send a proof, schedule an installation, and keep a record of the order. That is the whole list. We do not add you to a mailing list and we do not hand your details to anyone who wants to sell you something.

Cookies, analytics and tracking

This site sets no cookies. There is no Google Analytics, no tag manager, no advertising pixel, no session recording, no chat widget and no third-party script following you from page to page. We do not know who visits, which pages they read, or where they came from.

One thing is worth naming rather than hiding: the flag designer page loads its lettering fonts from Google's font service, so Google's servers see your IP address while that page is loading. No other page on the site asks an outside server for anything.

Like any website, ours sits on a web host that keeps standard server logs: IP address, page requested, date and time. We do not use those logs for marketing and we do not tie them to anything you send us.

Who else sees your information

  • FormSubmit, for anything sent through the flag designer, as described above.
  • The company that hosts our email, because your message arrives as an email and sits on their servers, the same as every email anyone sends us.
  • Nobody else. We do not sell, rent or share your information. There is no data broker, no ad network and no analytics company in this picture.

The online shop is a separate site

Our online store is a different website, built on Squarespace, with its own shopping cart and its own checkout. Orders placed there, including your shipping address and payment details, are handled by Squarespace and its payment processor under their terms, not under this policy. No payment information is ever entered on this site.

Links to Facebook, Instagram and Google Maps take you to those companies, where their rules apply and ours stop.

How long we keep it

Your message arrives as an email and stays in our business email. Quotes, proofs, artwork and invoices are filed with the job for as long as we may need them, so we can reorder the same flag years later, answer a warranty question, or keep our tax records straight. We do not run an automatic cleanup, and we do not build a marketing database out of form submissions.

Asking us to delete it

Call (813) 636-0701 or email tony@headsflags.net and tell us roughly what you sent and when. We will delete the message and any artwork that came with it. The one thing we cannot remove is the paperwork behind a completed order, which we have to keep. If something we hold is wrong, tell us and we will correct it.

Children

Nothing here is aimed at children, and we do not knowingly collect anything from them.

Changes to this page

If we change how the forms work, we will change this page and the date at the top of it.

Questions

Ask a person. Our address, phone and email are on this page and on the contact page, and the shop is open Monday to Friday, 8:30 am to 5:00 pm.
